What Is It Anyway
Automation in this context means creating a chain in which one event triggers a sequence of actions across different services without your participation. For example, a new order arrives on a website, and the system automatically sends a notification to the manager, records the client's data in a spreadsheet, and creates a task for the delivery department. Previously, a programmer was needed for this. Now there are platforms with a visual editor where you drag blocks with the mouse and connect them to each other. Artificial intelligence models are connected to such chains as a ready-made block, that is, in the same way as a spreadsheet or messenger. Because of this, text processing, request classification, or preparation of a draft response can be built into the scenario.
Three Main Platforms
Zapier is the oldest and simplest tool. Its logic is based on the principle that if one thing happens, then do another, and you can learn it in an evening without any preparation. Paid plans start at approximately twenty dollars per month.
Make is a visual builder for more complex scenarios with branches and conditions. It requires a basic understanding of process logic, but provides significantly more capabilities. The free plan includes approximately one thousand operations per month, while paid plans start at approximately nine to eleven dollars.
n8n is an open-source tool that can be installed on your own server and used for free without limits on the number of executions. The cloud version costs approximately twenty dollars per month. It is accessible without programming for basic scenarios, but its full potential is revealed when you understand how software interfaces work.
Why the Price Differs Several Times
There is a detail here that determines the real cost and that beginners overlook. Platforms calculate usage differently, and this is the main thing. Zapier counts each step as a separate task. That is, a five-step scenario executed ten thousand times uses fifty thousand tasks from your limit. Make counts each operation inside the scenario, but its basic prices are significantly lower. n8n in the cloud version counts the execution of the entire scenario regardless of the number of steps, while the version on your own server counts nothing, since you only pay for the infrastructure. The practical consequence looks like this. At small volumes, the difference is unnoticeable, but as the number of scenarios grows, the costs of the simplest tool increase significantly faster than those of the rest.
Where to Start
The general recommendation of practitioners is to start with the simplest tool in order to understand the principle itself, and then move to a more flexible one when the scenarios become more complex. The intermediate option also works, namely starting with Make right away, since its free plan is enough for the first pilot scenario, and its logic is already close to more complex systems. An open-source tool should be considered when you already have working scenarios and understand how many operations you spend each month.
Where the Work Actually Begins
Here is the most important section, and it is not about tools. The most common mistake is that a person first chooses a platform, watches tutorials, and then looks for something to automate. The correct order is the opposite. Take a week and record what you spend your time on. Not in general, but in specific actions. Next, mark the actions that have three characteristics simultaneously. They are repeated regularly. They are performed according to clear rules without the need for judgment. They take a noticeable amount of time. These actions are candidates for automation, and usually there are fewer of them than it seemed, but they consume more time than expected. Automating something you do once a month for five minutes is pointless, since setting it up will take more time than it will save over a year.
Realistic Scenarios for Starting
Here are several examples that deliver results immediately and do not require complex setup. Collecting applications from different channels into one spreadsheet, namely from email, a form on the website, and a messenger into a single list with a source indicator. Notifications about important events, for example about a new order above a certain amount or a mention of your company. Backups, namely automatically saving email attachments to cloud storage with organization into folders. Preparing standardized documents, when data from a spreadsheet is inserted into a template and the result is sent to the recipient. Processing requests with the help of a model, namely classifying an email by topic, determining its urgency, and preparing a draft response that a person checks before sending. Regular reports, namely collecting figures from several sources into a single document according to a schedule.
A Rule Worth Remembering
Automation should not make decisions instead of a person where the cost of an error is high. The correct approach assumes that the system prepares, while the person confirms. A draft response, not a sent response. A suggested category, not a final decision. The reason is simple. The model makes mistakes, and it makes them confidently, as I wrote in the article about fabricated responses. An automated chain, in turn, repeats the mistake systematically, meaning that one unsuccessful scenario produces not one error, but a hundred. Therefore, during the first months, any scenario should be kept in a mode where the result is checked before use.
How Much Time Does It Take
The first simple scenario can be set up in several hours, including understanding the interface.
The first useful scenario, meaning one that actually saves your time, usually takes from several days to a week, since the main work lies not in the setup, but in describing the process itself. The level at which this skill can be sold is measured in months of practice, since a client needs not the ability to connect two services, but the ability to understand their processes and propose a solution.
How This Turns Into Income
There are three paths, and they differ in complexity. The first is strengthening your own work, meaning you automate your routine and do more in the same amount of time. For a freelancer, this means more orders; for an employee, it is an argument in negotiations about a raise. The second is automating processes in your company. Here it is important to record the result in numbers, namely how many hours per month have been freed up and how much this costs in money. The third is providing this service to others. It has the highest salary ranges among Ukrainian vacancies related to artificial intelligence, and it also requires the most. The key condition for the third path is understanding the domain. It is impossible to sell process automation without understanding the processes themselves, so the easiest people to enter this field are those who have already worked in the relevant area.
What Not to Do
Do not start by choosing a tool, since you need to start with a list of your own routine actions.
Do not automate something that is done rarely. Do not build a complex scenario immediately, since debugging a chain of twenty steps is significantly more difficult than one of three. Do not let the system make final decisions at the beginning. Do not ignore the cost of an error, meaning think about what will happen if the scenario works incorrectly one hundred times in a row. Do not pay for courses before you create your first scenario yourself, since free plans and documentation are sufficient for starting.
